 Report on Member's DOB, Certifications and rostered bench staff

 

To find this report - please go to:  OWHA Shared Reports - Association Role Report by Season.  

 

It includes the correct (or incorrect) birthday plus all certifications for all rostered bench. 

 

 

 


How do I update a Member's Email Address?

 

 As an Association Registrar:

 

Login to the ITSN Admin area and click on Register->View Manage Member

 

Enter the Last Name of the Member you need to update their email address and Click Search

 

 

 

 

Note that if MEMBER LOGIN does not show up for a member, it means they do not have access to the system. If they are a parent attempting to register their child, they must set themselves up with an online account.

 

Click Select beside the Member's Name

 

 

Click Member Login found at the top of the page

 

 

 

 

 

Update the email address on this screen. And Click Save. You can then click Forgot Password, and the system will email the member their password automatically.

 

 

 

 

There is a second spot where you can update your Member's Email address.  This one is used for Communication to Members.

 

Click on Details within their Member Summary.

 

 

 

 

 

At the bottom of the details listing, there is an Email spot. Please update the email in this area too.  And click Save.

 

This email is used to communicate to the Member via Communicate->Email Member

 

 

 

 


 

How do I transfer a player from another club?

 

 YOU MUST BE IN THE NEW SEASON AS A PLAYER CAN NOT BE TRANSFERRED IF THEY ARE REGISTERED TO ANY OWHA CATEGORY

 

The Association who is receiving the new player logs into the Admin area and follows these instructions…

 

Click on ‘Register’ (top menu)

 

Click ‘View Manage ‘Member’ (left side menu)

 

Enter the First Name, Last Name and Birthday of the player you wish transferred to your association. Then click the ‘Search All’ button

 

 

 Notes on step 3 above:

 

- Having to know the birth date of a player prevents an admin from ‘trolling around’ the OWHA database searching for players for poaching reasons, etc.

 

- The difference between the Search and Search All buttons is that Search searches the local database (i.e. the association’s own data) and a Search All searches the entire OWHA database.

 

Click the ‘Transfer’ button beside the person’s name (on the Search Results listing)

 

Click the ‘Submit Request’ button.

 

This will submit a request for transfer to the other club.  Then you must connect with the other club for them to release the player over to your club.

 

If you do not hear back from the club or you need additional assistance, please reach out to the OWHA directly for assistance.

To find a listing of all of the transfers, please go to Register - View/Manage - Approve Transfer

 

From here, check enter in your start and end date as well as if you are looking for Approved or Pending or Denied Transfers

 

It will also show the Association Name and who submitted the request.

 

 

You can normally find the contact information for the club on the club's website, if you do not see if listed above, in the information provided to you.

How do I edit a member's Birthday, Name or Gender?

 

Send the MemberID along with the changes required to OWHA at registrar@owha.on.ca

 

 


How to remove a player's photo in member profile?

During registration using the New Members Area for OWHA clubs, if a member clicks EDIT beside their profile, they have the option to upload their photo, using the instructions provided.

 

If the Association Registrar would like to remove that photo, please follow the instructions below.

 

Please go to Communicate - File Manager - Player

 

Find the member's player id number and click delete beside the photo that is beside it.

 

All photos are listed by player id number.

 

To find that number go to Register - View/Manage Member -  and search for the member's name.

 

 

 

 


My player has reached their limit for registrations for the season?

 How do I fix this?

You can edit the player's registration by going to their Member Summary page and clicking Edit next to their registration and entering in the new category.  

 

Or they can refund the original invoice which will un-register the category registration and have the player go online and re-register to the correct category.

 

 How to setup an Assistant Registrar OR Association Registrar Role?

 

This ROLE is assigned by the Association Registrar for EACH CLUB.


The Assistant Registrar Role or Association Registrar Role allows a person to login and perform the duties within this role.

 

NOTE: Prior to starting this process the person you want to add must already be in your database and MUST HAVE an email in their profile.

1> Select Setup
2> Executive List>> Add new

3> Search for the Member you wish to Register and Click Select

4> Choose the ROLE name you with to assign to the member
5> Click Save

THEN

6> To email this member their password - go to Register - View/Manage Member

7 > Find the member and click select

8> You should see the MEMBER LOGIN button - click on that button.  (top of the screen in the Member Profile)

9> Make sure that the email address is correct, then click EMAIL New PASSWORD.

 


 How do I remove a family member?

I want to be able to remove a family member from a family profile in the members area.

 Reasons to complete this task

1 - a youth player is now an adult player and would like their own personal account outside of their original family account

2 - a member is no longer a part of a family unit.

Please submit a ticket to sports@ivrnet.com with the following information

The first and last name and DOB of the member you wish to remove from a family profile.

The first and last name and DOB of the members of the family profile to keep together.

 This way, we can ensure that we make the correct adjustments for you.

 How do I change the category that a member incorrectly registered to 

 

Without changing the invoice, go to Register - View/Manage Member

Find the member profile and click Select

Under Member Registration List, click ON EDIT

Update the category and click save

 

NOTE: This will not change the invoice but it will change their category to the correct one.
